Create a PM/RM Schedule

To create a PM/RM schedule manually, complete the following steps:

  1. Go to Work Orders > PM/RM Schedules.
  2. The Preventive/Routine Maintenance List screen opens.
  3. Use the scope selector and the drop-down list in the top right of the screen to choose either a team, work zone, or portfolio under which the PM/RM Schedule will be created.
  4. Click the Create New PM/RM button in the heading row of the Preventive/Routine Maintenance List table.  
  5. The Maintenance Schedule screen opens.
  6. Enter a name for the schedule in the Name field.  This is the name that appears in the list on the Preventive/Routine Maintenance List screen.
  7. Click the (triangle) icon next to the Customer field.
  8. The "Customer Search" popup screen appears.
  9. Click the Show All Customers link or use the search field to locate the customer you want to associate with the PM/RM schedule.
  10. Select a customer from the list, then click OK.
  11. Back on the Maintenance Schedule screen, click the (triangle) icon next to the Location field.
  12. The "Define the Location" popup screen appears.  
  13. Select the appropriate location, then click OK.
  14. Back on the Maintenance Schedule screen, click the (triangle) icon next to the Item  Asset field.
  15. The "Item Asset" popup screen appears.
  16. Double-click items in the left column to drill down to the asset you want to create a work order for, then select it and click OK.
  17. Back on the Maintenance Schedule screen, click the (triangle) icon next to the Task field.
  18. The "Define the Task" popup screen appears.
  19. (Optional) If the list of tasks that appears is long, you can use the check boxes at the top of the screen to filter it based on task type.  
  20. Select the task you want to add to the PM/RM schedule, then click OK.
  21. Back on the Maintenance Schedule screen, you have the option of adding a more detailed description of the task in the Description field.
  22. Note: You should definitely enter a description here if you selected "Other:" as the Task type.
  23. Click the (triangle) icon next to the Schedule field.  
  24. The "Set Schedule" popup screen appears.  
  25. Click a radio button to set the frequency of the task.
  26. Select a start and end date to specify when the task should begin and end. Select the No End Date check box if you want the schedule to run indefinitely.
  27. Note: The start date is the date the work order will be created.
  28. If the work is seasonal, click the Seasonal Maintenance radio button, then enter start and end dates for it.
  29. Click OK to finish scheduling.
  30. Back on the Maintenance Schedule screen, the remaining fields are optional. Make selections or changes to whichever ones you want:

Note: For the Assigned To field, if you specify a user or vendor in this field, that user/vendor is automatically the "Assigned to" user/vendor for all work orders generated by this PM/RM schedule. You can edit the "Assigned to" field within the work order, if necessary, so you are not committed to using whomever you originally select on this screen.
  32. (Optional) Add a note about the PM/RM schedule in the Note field at the bottom of the screen.
  33. Click Save to add the PM/RM schedule to the system.
