Email, Print, or Fax a Work Order
To email, print, or fax a work order, complete the following steps:
- Open the Work Order details screen for the work order that you want to email or print.
- Click the Email/Print button at the top of the screen.
A drop-down list appears, displaying the different work order formats you can email or print. Show me
- Select a format from the list. The list is customizable, so the following are just some of the possible options:
- Customer—Includes the following sections: Customer, Problem, Assignment, Completion Comments, Required Signatures, Notes, and Check Lists
- Customer (w/ Notes & Actions)—Includes the following sections: Site Information, Customer Information, Service Request Details, Work Order Details, Required Signatures, Completion Information, Work Order Notes, Work Order Actions
- Customer (w/ Notes & Punch List)—Includes the following sections: Assigned To, Customer Information, Service Request Details, Work Order Details, Required Signatures, Completion Information, Work Order Notes, Check Lists
- Customer (w/ Notes)—Includes the following sections: Site Information, Contact Information, Customer Information, Service Request Details, Work Order Details, Required Signatures, Completion Information, Work Order Notes
- Invoice—Includes the following sections: Customer, Work, Invoice
- Standard—Includes the following sections: Assigned To, Customer Information, Service Request Details, Work Order Details, Work Order Notes, Work Order Actions, Check Lists
- Vendor—Includes the following sections: Customer, Problem, Assignment, Completion Comments, Required Signatures, Check Lists
- Voice User Print—Includes the following sections: Instructions for service personnel using Voice Portal, Work Order Code, Site Information, Contact Info, Assigned To, Customer Information, Work Order Details, Work Order Notes, Required Signatures, Completion Information, Check Lists
After making your selection from the list, a popup screen appears, displaying the work order details.
- Click the Print or Send To button at the top of the popup screen.
If you click Print, a print screen opens, requiring you to click an additional Print button in order to send the job to the printer.
If you click Send To, a drop-down list appears, requiring you to select one of the following options:
- Assigned—Select
the Assigned option to send the contents of the work order via email or fax to the user assigned to the work order.
- PropertyContact—Select
the Property Contact option to send the contents of the work order via email or fax to the contact listed for the property.
- Requestor—Select
the Requestor option to send the contents of the work order via email or fax to the contact who created the service request.
- Manual Address—Select Manual
Address if you want to manually enter an email address or fax number where you want to send the work order details.
A Send To popup screen opens. Show me
- If you are sending the work order as an email, enter addresses in the Email To and Email From fields, if they are not already populated.
- If you are sending a fax, click the Fax radio button, then enter the fax number along with all of the other relevant details such as sender, receiver, subject, and comments.
- (Email only) In the Attach Documents field, select the documents you want to include as attachments to the email you are about to send.
- Click OK to fax or email the work order.
