- On the Select Billing Account screen, click the Select button beside the billing account under which you want to create the invoice.
- On the Customer Invoice screen, add items to the invoice in one or both of the following ways:
- Click the Add Work Ready to be Billed link
- On the Work Orders Ready to be Billed screen that pops up, select the check boxes beside each of the work orders that you want to add to the Customer Invoice.
- Click the Copy to Invoice button in the bottom right corner of the screen.
- Click the X button at the top right corner of the Work Orders Ready to be Billed screen in order to close it.
- The Customer Invoice screen then refreshes and displays all of the line items from all of the work orders you selected.
- Click the Add Line Item link.
- On the Service Location Search screen, find and select the location where the work order was performed.
- On the Customer Price List screen, click the Add button beside the item that you want to add to the customer invoice.
- Note: If the line item being added has a designated mark up amount or mark up percentage in the Customer Price List, the unit price will display as $0.00, allowing you to designate the price manually.
- Each new line item that is added appears below the previous ones on the Customer Invoice screen and the SubTotal and Total values are updated to reflect the cost of the newly added items.
- After you finish adding line items to the invoice, click the Calculate Tax button to update the invoice with the correct tax values based on the location where the work was carried out.
The next step is to post the invoice, which sends it to the customer. After you post the invoice, you cannot add items to it, so only complete the following step when you are sure the invoice is complete.
- Send the invoice to the customer by selecting Post from the Actions drop-down menu in the top right corner of the Customer Invoice screen.
